Change in reimbursement regulations
The doctorate board has decided on January 8, 2026, to adjust the reimbursement regulations for dissertations.
The amendment entails the following:
- The maximum amount for reimbursement of printing costs will be €1,200.00 (previously €2,200.00).
- PhD candidates will submit five (previously ten) hard copies to the registrar's office.´
- This change applies to manuscripts submitted by PhD candidates in Hora Finita on or after April 1, 2026. Existing agreements remain valid.
What does this mean for you?
From 1 March 2026 onwards, partners working with RUP Dissertations Series will start sending their invoices directly to PhD candidates using their services. The PhD candidate then pays the invoice and declares the money via BASS (or a declaration form for non-employees). This is the same procedure followed by PhD candidates who don’t print their thesis with RUP.
What doesn’t change? RUP still provides the following services:
- DOI
- ISBN
- Professional design and printing
- Indexation
- Hosting
- Longterm availability via Print on Demand
How do I sign up?
If you decide to publish with the Radboud Dissertations Series at Radboud University Press, please email us at dissertations.radbouduniversitypress@ru.nl. Please include the following details in your email:
- Your first and last name
- The full title of your dissertation (including subtitle)
- The topic of your dissertation
- The language in which your dissertation is written
- Estimated number of pages
- Illustrations included? Yes/no
- Date of defence (if known)
I don't have a date yet, can I still sign up?
Yes! As soon as you have submitted your manuscript to the manuscript committee, you can sign up by sending an email to dissertations.radbouduniversitypress@ru.nl.
Do you also handle the design?
Yes. The interior and the cover will be designed by our team of designers. Covers are placed in a template where, among other things, the Radboud University Press logo and the research institute are mentioned. For examples of our templates, see our information flyer page 5.
I've already designed the interior myself. Can I still participate?
Yes. Even if the interior has already been finalised, for example in LaTeX, you can still use the Radboud University Press publishing service. Our designers will guide you in correctly submitting the documents. Covers are placed in a template where, among other things, the Radboud University Press logo and the research institute are mentioned. For examples of our templates, see our information flyer page 5.
How should I submit my materials?
After the registration process, one of our designers will contact you regarding the correct submission of the documents. Try to minimize any personal formatting of the document and preferably use the heading structure of Microsoft Word. For more information, see page 6 of our information flyer.
What are the costs?
Prices as of March 2026. If you uploaded your manuscript to Hora Finita on or after 1 April 2026, you are entitled to a reimbursement of €1,200. Prior to that date, the amount is €2,200.
